    NLO Assistant 

    The Danish Embassy in Beijing is looking for an Administrative Assistant/Assistant Translator to the Nordic Police and Customs Liaison Office in the Embassy

    Position:          Nordic Police and Customs Liaison Office (NLO)
    Location:         The Royal Danish Embassy, Beijing
    Deadline:         24 March 2019
    Starting date:  May 15th 2019 or as soon after this date as possible.

    The Danish embassy in Beijing seeks a full time qualified translator and administrative assistant to primarily support the section handling police and customs liaison matters, but also to support other sections throughout the embassy.

    You will be part of an office consisting of a Danish Police Officer and you, who are responsible for facilitating cooperation between the five Nordic countries (Iceland, Norway, Sweden, Finland, and Denmark) and Police- and Customs Services in China.

    Job Description
    Under direct supervision of the Team Leader of the NLO you will perform a variety of duties related to translation and administrative/secretarial functions by:

    • Translate and self-revise documents from English into Chinese and vice versa;
    • Provide liaison interpretation during internal and external meetings;
    • Perform secretarial duties and administrative assistance by ensuring the efficient preparation and administration of the correspondence and documentation needed for the daily work of the section;
    • Monitor (log, treat, trace, and file) incoming and outgoing mail in the office;
    • Maintain the electronic and paper filings systems;
    • Follow-up with the Team Leader of the NLO to ensure that action is taken in a timely and effective manner;
    • Draft internal and external correspondence as well as minute meetings and note verbales;
    • Check outgoing correspondence and documents for completeness and accuracy;
    • Receive and assist visitors and ensure that all appropriate logistical arrangements are in place;
    • Assist in the travel arrangements of the Section;
    • Participate in business travels in China and internationally in the Nordic Countries;
    • Support the general affairs of the Embassy e.g. assist when delegations visit China and assist with ad hoc administrative tasks;
    • Perform other duties in support of the NLO;


    • Completion of higher secondary education; preferably in translation of English language, public administration, or other related subjects;
    • Fluency in Chinese and English is essential. Knowledge of a Scandinavian language (Danish, Swedish, or Norwegian) would be considered an asset;
    • At least 5 years of secretarial/administrative including translation experience;
    • Work experience or knowledge of Chinese public administration (police or customs) or from similar position in an international institution would be considered an asset;
    • Good skills and experiences in Microsoft standard applications, i.e. Word, Excel, and Power Point;
    • Good knowledge of general office management policies, procedures and practices;
    • Good ability to work with a high degree of autonomy and meet deadlines;
    • Good communication, drafting and organizational skills, ability to plan and establish priorities including ability to handle large volume of work in an efficient and timely manner;
    • Ability to cope with sudden increases in workload, and high degree of availability (may be required to work overtime or outside normal working hours);
    • Excellent interpersonal skills, initiative and willingness to learn new skills;
    • Professional and personal integrity;
    • Absolute discretion and loyalty;

    Employment conditions:

    • Standard working hours of 40 hours per week including 1 hour lunch
    • 20 Annual paid holidays and local holidays, in accordance with the legally binding labor market rules and the local staff rules
    • Salary in accordance with the China Mission’s salary policy that reflect qualifications and relevant experience

    The NLO Beijing concist of the above-mentioned Danish Police Officer, a Swedish Customs Officer stationed at the Swedish Embassy and a Finnish Police Officer stationed at the Embassy of Finland. We work very much as a team and assist each other in facilitating cooperation between the Nordic countries and the authorities of China.
